Xero

The Xero app connects Xero accounting to Sprigr Team. Agents can look up contacts and invoices, create quotes and invoices, record payments, read bank transactions, run reports, and reach the rest of the Xero API surface including projects, payroll, fixed assets, files, expenses, bank feeds and finance. Records are mirrored into a searchable index so lookups by name or reference are fast, and Xero webhooks turn contact and invoice changes into events that workflows can act on.

  • A Xero login with access to the organisation or organisations you want agents to work with.
  • Admin or Owner role in your Sprigr Team organisation to install the app. Any member can connect their own Xero login once it is installed.
  1. Install the app

    Sign in to team.sprigr.com, open Apps in the sidebar, find Xero under Available, and install it. See Installing Apps.

  2. Connect your Xero login

    Ask your agent to connect Xero. It sends you a Xero sign-in link scoped to you; open it, log in to Xero, and authorise the organisations you want to grant. Each person who wants their agent to use Xero does this once.

  3. Pick an organisation if you have more than one

    If your login authorised a single organisation it is selected automatically. If it authorised several, you land on a Select your Xero organisation page after signing in; pick one and click Use this organisation. You can change the default later with select_organisation, and any request can name a specific organisation to target it for that call.

  4. Check the connection

    Ask your agent “Which Xero organisations am I connected to?” It lists the authorised organisations and which one is active.

  • Searchable mirror. Contacts, invoices, quotes, payments, credit notes, bank transactions, purchase orders, manual journals, bank transfers, items and more are imported into a per-organisation search index, so “find the invoice for the Smith job” resolves to the right record without paging through Xero. Ask the agent to run a full backfill for your selected organisation the first time; after that an incremental sync picks up changes every 15 minutes.
  • Webhooks and events. Xero notifies the app when contacts and invoices change; the app verifies the signature and emits xero.contact.created, xero.contact.updated, xero.invoice.created and xero.invoice.updated events that a workflow can subscribe to.
  • Confirmation before money moves. Fifty-eight actions require the agent to confirm with you before running, including creating or updating invoices, quotes, payments, credit notes, bank transactions, manual journals and purchase orders, allocating credits and prepayments, emailing an invoice, quote or statement, voiding, deleting, and every payroll write (employees, timesheets, leave, pay runs).
  • Undo. Reversible writes are journalled and can be restored to their previous values.
  • Tokens. Xero access tokens last 30 minutes; the app refreshes them in the background every 25 minutes so a quiet morning does not start with a re-login.

The app exposes a single xero_accounting tool that takes an action, with 203 actions across Xero’s API products. At a category level:

  • Contacts: list, get, create and update contacts, contact groups, history notes.
  • Sales: invoices (list, get, create, update, authorise, mark sent, email, void, PDF, online invoice URL), quotes (create, update, accept, decline, email), credit notes, overpayments and prepayments with allocation and refund, payments and batch payments, repeating invoices, branding themes.
  • Purchases and banking: purchase orders, bank transactions and transfers, bank statement lines, bank feed connections and statements.
  • Accounting: chart of accounts, tax rates, tracking categories, manual journals, items, currencies, budgets, linked transactions.
  • Reports: any Xero report by name, plus balance sheet, profit and loss, trial balance, ageing by contact and cash validation through the Finance API.
  • Projects: projects, tasks and time entries.
  • Payroll: employees, timesheets, leave applications, pay runs, payslips, pay items, payroll calendars, super funds.
  • Fixed assets, files and expenses: assets and asset types, files and folders, attachments, expense claims and receipts.
  • Organisation: organisation details and users, connections, list and select organisations.
  • Debtor follow-up. “Who owes us more than 30 days?” returns overdue invoices by contact so the agent can draft chasers for review.
  • Invoice from a conversation. Office staff describe the work and the agent creates a draft invoice with the right contact, lines and due date, then authorises and emails it once approved.
  • Month-end questions. “What did we spend on subcontractors in August?” runs the relevant report or filters bank transactions by account.
  • Payroll checks. “Has Sam’s timesheet for last week been approved?” reads timesheets without opening Xero.
  • React to Xero changes. A workflow on xero.invoice.updated notices a paid invoice and updates your job management system or thanks the customer.

Not-connected errors The person asking has no Xero login linked. Ask the agent to connect Xero; it sends a sign-in link bound to you. One teammate being connected does not connect anyone else.

Wrong organisation Use select_organisation to change your default, or name the organisation in the request. list_organisations shows what your login has authorised.

A record the agent cannot see Xero scopes data by the connected login’s user role. The login must have access to that organisation and record.

An action is waiting for confirmation Money-moving and destructive actions pause until you confirm in the chat. Approved actions keep their details visible afterward.

Search results look stale The incremental sync runs every 15 minutes. The agent can read any record live by id at any time; the mirror is for finding records, not the source of truth.
